We are located in immediate proximity to many of the communities we serve. We consider ourselves neighbors both with regard to our corporate approach and the service provided by our staff.  We strive to keep our administrative costs low and our overhead at a minimum, even as we employ the most up-to-date secure information technology for our financial and management services.  This enables us to pass on our savings to our clients and be cost effective. 

 

LOCATION

Our office is centrally located in the Rice Village area in immediate proximity to a majority of our client base.

 

FILE STORAGE

All client documents are maintained in digital format whenever possible.  All records are then stored according to industry standard fiduciary or legal requirements (recommended for a minimum of 7 years).  Digital records are backed up securely off-site in regular intervals (daily/ weekly/ monthly) according to current industry standards.  Off-site storage for other hardcopy documents is provided per clients’ request as needed, at an additional cost.

 

INFORMATION & RECORD SECURITY

Records and access to records are fully secured according to industry standards (controlled authorized access).

 

FINANCIAL & MANAGEMENT INFORMATION SYSTEMS

We use a comprehensive distributed web/cloud based management information system for all financial and management transactions of our clients. Our system allows import and export of all data and reports in widely accepted standard formats (such as MS Office, PDF, database formats etc.) which can easily be made available to our clients as needed.  Each community will have a website/portal that is fully maintained by Midtown Management which will allow each owner direct access to their account, make payments, view any outstanding violation letters, submit a work order, view HOA documents, current financials, meeting minutes, etc.  Board members have complete access to all association records.  In addition to the website/portal, this also includes a phone app for owners to access the same information right from their phone.

 

TRAINING OF STAFF, PROFESSIONAL DESIGNATIONS AND CONTINUITY OF SERVICE

Midtown Management staff and our affiliated partners (if applicable) keep current with legal and professional licensing requirements, such as CAI membership and professional designations when involved in the management of our clients’ associations.  7/24/365 emergency coverage with live operators at all times, property manager backup, crossover training and record access are part of standard operating procedure and are provided at no additional cost.

 

INSURANCE

Midtown Management shall be responsible for its conduct in accordance with applicable laws, and will keep in force sufficient professional liability insurance in the amount of no less than $1,000,000 at all times.
